Enter Organization Details

The first thing I recommend you do is to enter your organization's contact details so they are included on the invoices and documents you create.

1. Log into Utility Billing, then click Admin
2. Look under Group Manager and click Edit Group
3. Click create new group, fill out all fields and click Save Group

Import Bulk Meter Numbers

Hi Emma,

Yesterday we sent you an email describing how to upload all your customer data. For the next phase you will now want to bulk import your meter numbers.

How To Import Bulk Meter Numbers

1. Click Admin, Look under Import Setup Tools
2. Click Meter Numbers
3. Click to download the provided zip file. Open the CSV template
4. Manually Insert Customer Details into the template
5. Click the ... button to upload your file and click Upload File
6. Click Green Import Button to finish importing

NOTE

For Excel users
To ensure no errors during import

Make sure the file is saved and imported in CSV format

Ensure that all Date/Year fields are changed to 4 digits (e.g. 3/6/2017 as opposed to 2/6/17) By default excel reverts to a 2 digit year format. If your date format is already set to the same as we expect to see (Year as XXXX) you will not need to change it each time. Many of customers choose to use text editors rather than excel as text editors don't meddle with the file format like our friends at Microsoft do with Excel.?

Hi Emma,

Now that you have entered your company information into the platform the next step is to bulk import all your customer data.

Here's how to Import Bulk Customer Data

1. Click the Admin tab, look under Import Setup Tools
2. Click Customer
3. Click to download the provided zip file. Open the CSV template

**When you import your customers into the platform online access for customers is enabled by default.

Import Bulk Meter Readings

1. Click the Admin, look under Import Setup Tools
2. Click Meter Readings
3. To import readings we first insert last months reads (Initial Reads)
4. Lastly, we insert this month's readings (Actual Reads)

* This means for each Meter Number we have 2 separate readings

5. Click the ... button to upload your file and click Upload File
6. Click Green Import Button to finish importing

Setup Customer Portal

The last step in our Get Started Series is setting up your Customer Portal. This is important as it will make it easier for your customers to login, check their statements and even pay their bills from within the platform!

Features of Customer Portal

Pull PDF Statements easily (transactions are automatically logged)
Online Payments

Enter Final Meter Readings and Move Out

Customer Portal

Enable Customer Portal Access

1. Click Customers Tab
2. Scroll to Customer Portal and click Allow Access button to YES
3. Fill in Password in field below
4. Scroll down and click Save Customer

Configure Customer Portal Settings

1. Click Admin tab
2. Under Miscellaneous select Customer Portal Settings

The Customer Portal Settings enable users to customize the display of sections within the Customer Portal.

The Customer Portal Settings screen contains three specific areas:

Customer Portal Settings
FAQ Page Editor
Work Flow Editor

Customer Portal Settings
- The Company Logo URL is where users should input their preferred company Logo URL to ensure display on Customer Portal. It will be located at the top left-hand corner in the Customer Portal.
- The Pay Now URL is where users should input their previously setup Customer Payment Link (from Braintree Payment Gateway Setup), which gives customers quick access to online payment facilities. The steps to retrieve Pay Now URL are:
  - Click Admin tab, look under Payment Gateway and select Group Payment
  - Scroll down to Customer Payment Page section to obtain URL by clicking green button Customize Payment (*t is important that users remove the Group No. from the copied URL before clicking Save button)
- Click Blue Save Button

NOTE
Users can check all modifications made to the Customer Portal by selecting Go to Customer Portal at any time. (This will only be possible if at least one customer’s portal access has been activated).?

Work Flow Settings
- This allows customers using the Customer Portal interface to log complaints, provide feedback, advise on payments, as well as many other options. Click blue button to edit work flow
FAQ Page Editor
- Users can cultivate their own brand of FAQ’s by exploring the text settings and insert options.
- Once you are finished select Save Page

*NOTE

Steps to Enable a Single Customer to Access the Customer Portal

1. Search for a Customer Name in the Search Bar and click Customer #
2. Click Details
3. Scroll to Customer Portal Section and click to turn on button - ALLOW ACCESS
4. Click to create Password in the field below
5. Copy/Write down Customer # AND Password
6. At bottom of the page, click Save Customer and Click OK

One of the most crucial steps in using our platform is a Bill Run.

The Bill Run screen provides a user with a few options such as:

Perform a search for Old Bill Runs
Perform a New Bill Run

Key Terms with Descriptions:

Recurring Charge Date: This is the date from which daily changes will be incurred. This date is typically the first date of the bill run.

Issue Date: Date the Bill is issued

Due Date: Date customer Must be pay to avoid penalties

To Perform a Bill Run

1. In the dashboard, click Bill Run
2. Click the Run the Bills button
3. Input Date Parameter details for the bill run
4. Click Run the Bill Button

*NOTE

Your Statement will be generated based on the parameters entered
A message will appear about the status of the statement generation

Manual Entry of Payments

Hi Emma,

In one of the earlier steps in our Payments Series we showed you how to bulk import all your Customer Payments into the system. However, there may be times when you want to manually enter Customer Payments under a customer's account.

Examples include:

When a customer calls in and asks you to process a card over the phone
If you have a check payment from a customer mailed to you, you will need to enter it, and then bank the check.

Manual Entry of Payments

1. Search Customer's Name or Customer Account Number on the search bar
2. Click Customer # of customer for whom we are adding a charge
3. Click Payments tab
4. Click Transaction Type drop-down menu and select Payments
5. Click Payment Method drop-down menu and select the payment method to be used e.g. Credit Card or Check
5. Under Payment Details- you must now enter receipt email as well as payment amount
7. Click Blue Make Payment button to complete payment and a receipt will be sent to your customer's email address. (That template is configured in Admin>Templates)

*NOTE

To edit charges for a customer we must ensure we have already imported customer data, meters etc.

Add A Security Deposit

1. Search for a Customer Name in the Search Bar
2. Click Payments Tab (next to Statements)
3. Select 'Security Deposit' from Transaction Type drop-down
4. Select 'Deposit' from Payment Method drop-down
5. Enter required details then click Make Payment button
6. Check Customers Details tab for security deposit total (this is separate and is not credited or debited to the customer's balance)

*NOTE

In Step 1 - You can search for a customer using First or Last Name, Address, as well as Customer number

Apply Security Deposit

1. Search for a Customer Name in the Search Bar
2. Click Payments Tab (next to Statements)
3. Select 'Security Deposit' from Transaction Type drop-down
4. Select 'Transfer from Payment Method drop-down
5. Enter required details then click Make Payment button
6. The security deposit amount in the transaction will now be deducted and credited to the customer's balance

Return Security Deposit

1. Search for a Customer Name in the Search Bar
2. Click Payments Tab (next to Statements)
3. Select 'Security Deposit' from Transaction Type drop-down
4. Select 'Returned Security' from Payment Method drop-down
5. Enter required details then click Make Payment button
6. The security deposit amount in the transaction will now be deducted

Hi Emma,

In this email we will show you how to deal with allocations: more specifically how to enable allocation settings, setting allocation priority as well as adding and modifying allocations.

Allocations

Enabling Allocation Settings

1. Click Admin tab, and look under Group Manager
2. Click Edit Group
3. Scroll down to Payment Options and click 'Enable Payment Allocation'
4. Click Save changes button

*NOTE

Allocation Priority Button only shows up under Billing heading once you have Enabled Payment Allocation, and after you have created a rate plan

Setting Allocation Priority

1. Click Admin tab, and look under Billings
2. Click Allocation Priority
3. Drag and drop items and arrange accordingly
4. Click Update button to save changes

*NOTE

Before making an allocation, there must be:

Statements to allocate to
Allocation Settings enabled

Allocate Payment

1. In Customer page click Payments Tab
2. Fill up fields for payment. Click Make Payment button, then click OK button (once confirmation popup is displayed)
3. Select a statement number
4. Allocate payment amounts accordingly

By default the “Automatically Allocate” checkbox will be checked and the system will automatically allocate the payment. These steps are only for manual allocation

Modify Allocations

1. In Payments Tab, click View History button
2. Click Modify Allocations button
3. Select transaction number and statement number
4. Allocate payment amounts accordingly

Add Meter Reads

1. When you click on the Meter Reads tab, select the Meter Number you created for your customer that you wish to add a read then click on Add Read
2. Fill in the required fields then click on the Save button

Edit Meter Reads

1. Search customer''s name on the search field
2. Go to the Meter Reads tab and click on the Modify button
3. Make the necessary changes and the click Save button

*NOTE

Only one read will be processed at a time

Eg:
Day 1 – 0.00 (Initial)
Day 2 – 2.00 (Actual)
Day 3 – 3.00 (Actual)
Day 4 – 4.00 (Actual)

During Bill Run, the reads that will be calculated are Day 1 and Day 4 (latest) only.

Invoice Settings

Use reference only invoice – Enable this to display the Reference Only watermark.
Primary invoice template – Select the template to be used for the invoice.
Secondary invoice template – Select the template to be used for the invoice.

Edit Invoices

1. Click Admin tab
2. Under Miscellaneous click Invoice Setup
3. To Modify an invoice template click the Edit button (Blue Marker icon)
4. Click Next to proceed

*NOTE
There are multiple invoice templates we supply for you to use or you can create your own.

You can you can change the options such as:

Number of pages in your invoice
Paper Size
Name and more...

Invoice Editing Screen

The Invoice Creator is a very powerful tool and requires a more in-depth guide than this one will go into. The basics are easy to pick up though.

Simply drag and drop it and arrange it how you wish, and hover over the button to get a tool tip that will tell you what the button does. Once you are satisfied with your Invoice you can run a Bill Run!

Some Features:

You can drag and drop any field from the column on the left into your invoice and make it look how you wish.
You can add images, logos, and much more.

The Bill Run Cycle option enables users to categorize their customers into separate Bill Run Groups.

Bill Run Cycle

1. Click Admin tab and look under Billing
2. Click Bill Run Cycles
3. In the Bill Run Cycles page, click Create new button
4. Input details of the Bill Run Cycle:

Cycle Name - Input the name of the cycle
Customer Numbers - Select the combo box the customer numbers of the customer you want to include in the cycle

5. Click Save button

Import Bulk Payments

Hi Emma,

In one of the earlier steps in our Payments Series we showed you how to setup your Online payments. Next, you will want to bulk import all your Customer Payments into the system.

*NOTE

To edit data, any spreadsheet application may be used. But it is advisable to check the data through a text editor. Data is stored as a CSV (comma separated values) and spreadsheet applications sometimes mess this up and fill in unnecessary data.

Import Bulk Payments

1. Click Admin Tab
2. Under Import Setup Tools click Payments
3. Click to download the provided zip file. Open the CSV template
4. To upload the data file, click on the Browse button, then open the file
5. Fill in the Description box
6. Lastly, click on the Upload File button

Meter Reading App

Did you know we have a Meter Reading App for iPhone / iPad which downloads your meter walk order, and allows you to record each meter''s readings. When complete it uploads the readings straight into Utility Billing which downloads read cycles, records each meter''s readings and lastly uploads it into Utility Billing for billing.

How to Setup Meter Reading App

Setup a User for Web Service Privileges to Use App

1. Click Admin Tab, look under User Manager and Click Users
2. Click on Create New User button
3. Add Username and Password Details
4. Click Blue Save User button

* It is important for the user to change their password upon initial login to their preferred password

5. Go back to the User List and you will be able to change their access to web service only

NOTE

These instructions are intended for use by the appropriate person with Administrative System rights to add new logins for meter reading personnel or anyone wanting access to the Meter Reading App.

For anyone requiring access to both main application and the iPad app they will require two Login ID’s.

How to Use to Meter Reading App

1. Initial Login

Login with Username (Meter Reader User ID) and Password (Meter Reader Password), Click Save.
Choose Instance- i.e. Utilitybilling.com
Click TEST to ensure that user details are activated and connecting with the environment
Message will say ''TEST OK'' or ''TEST FAILED''
If Test fails, ensure that correct user details have been entered and that the user has Web Services Enabled in the system.

2. Import

Click on the Import Icon and click Download to load all meters

3. Reads

When the download has completed select Reads to access the reads schedule where you can enter new reads.

Contact Logs

Hi Emma,

The Contact feature is a powerful feature in our system is used to record all communication between your company and your customer.

In addition, this feature also acts as an audit log and tracks every change that a user makes to a customer''s account or anything linked to it.

Contacts such as phone conversations, emails, inquiries, and requests can be added manually however, actions taken from within the system are recorded automatically.

Contact Logs

1. Enter Customer''s name in the search field and then click Contacts tab
2. To see details for each contact, click Details button on the right-hand side
3. To manually create a contact log, click on the Add Contact Log Button
4. Next fill in all the required fields
5. Click Save button when finished

Move Out

Hi Emma,

One of the amazing features we have on our platform is the ability to allow customers to Move Out quickly and easily on their own!

Move Out

1. Click on the Services tab
2. Click on the red Move Out button
3. Once you''ve clicked Move Out fill out the required fields
4. Click Continue move out (once you click this the move out is final)

In case you do not want customers to have the ability to move out on their own we have you covered. This option is configurable and we have provided the option for you to disable it for your customers.

*NOTE
Clicking the Move out and Transfer button will move out the customers and then display the Transfer page. This allows you to assign a meter to a new customer. Additionally, instead of again inputting address and meter details, these are carried over the new customer via the Transfer page.

Setup Online Payments

Hi Emma,

One of the amazing new features on our platform is the automatic and seamless integration into Braintree.

Braintree is a payment provider owned by Paypal (both Braintree and Paypal are integrated into platform)

This integration allows your customers to quickly and easily pay their bills, and Braintree even automatically updates the customer''s balance.

*NOTE
If you want to be able to process credit cards you will need to setup an account with Braintree / Paypal. They will provide you login details similar to those shown underneath the Setup Online Payments steps

Setup Online Payments

1. Sign up to Braintree, and then go to Braintree Payments Website

2. You will receive a welcome email from Braintree (don''t use a fake email on signup)

3. Click on the link you were emailed to activate your Braintree account. Some of the details are grayed out but some of your details will be personalized

4. Click Admin tab, then under Payment Gateway, click Group Payment

5. In the Manage Payment Gateway of Group screen enter in the details below to test:
