It has been well publicised that COVID-19 has impacted the economy, but what isn’t as apparent is the impact on people’s mental health. We’ll be joined by three excellent speakers who will give their insight on how mental health can affect the accounting industry.
Hear from Andy Salkeld as he talks about his life of two halves. Andy has enjoyed a successful career within the accounting industry, holding several senior roles within well known companies. The other side that is not as obvious is Andy’s struggles with mental health. Andy has struggled with depression, anxiety, stress and suicidal thoughts and learned a lot along the way. He has written a book 'Life is a four-letter word' which is a mental health survival guide for professionals.
Dr Helena Boschi is a psychologist who focuses on applied neuroscience in the workplace. Helena will cover the psychological legacies of lockdown and the impact of the pandemic on our thinking and decision-making, offering several practical strategies for dealing with the current situation. Helena’s book is called ‘Why we do what we do’ and offers brain science to non-scientists who are interested in understanding human behaviour and responses.
Author of Amazon Best Seller, ‘True Worth’, Vanessa Ugatti, helps accountants take charge and get paid what they’re really worth, while still managing a healthier work-life balance. Now, as well as external deadlines, you can set internal deadlines. Take more control over your time by working towards a target date and give yourself some breathing space.
As with everything AccountancyManager, this feature can be automated... Default the target dates (per service) to be set X number of days after the ''period end'' or ''records received'' date. Alternatively, you can enter custom target dates.

Maintain effective communication whilst working from home.
Over the next few weeks, we''re shining a spotlight on the AM features that have been keeping our users on track while working from home - and could make your life easier too.
Messaging:
Efficient internal communication
Communication is fundamental to an efficient accountancy practice, but it can be tricky to maintain, especially when your team are working from home. In order to provide a professional service, everyone needs to be on the same page - particularly if multiple team members are working with the same client.
Good communication, wherever you are You can send messages to colleagues through AM - either an individual, or a group - and messages can be attached to specific tasks and clients too. Any notification where a client is selected will appear on the Client Timeline.
How does it work?
Navigate to the bell in the top right corner of AM (here you can see all your notifications). If you click Send Notification, a box will appear with a few options, (see image). Enter the details and hit send. You can also make it urgent - it will then appear in a red box at the top of your colleague''s screen.

HMRC Tax Investigator
HMRC is a notoriously impenetrable institution. So the opportunity to interrogate a former senior tax investigator was too good to pass up.
John Groves is kind of a big deal. A former senior HMRC tax investigator, he spent 45 years at HMRC and for a time headed up the Hidden Economies team within HMRC's Risk and Intelligence Service. John has also been a magistrate and spent an enlightening few months in Dover working with border force. John now works at an accountancy firm and advises the team at AccountancyManager on all things AML and risk.?
John emphasises the importance of being welcoming to new clients, while at the same time measuring the risks: for the client, for their company and for you - and understanding as much about their business as possible.

What are the benefits?
Speed up your software set up...
Say you're already using Xero and want to introduce AccountancyManager to automate and track your practice's admin. With the integration, you can pull all your client contact information through from Xero to AM.
Double-entry is one thing. Entering the same data in two places is quite another.
Instead of creating invoices in two places, create them once in AccountancyManager and at the click of a button they'll be in Xero. When you receive payment, mark your invoices as paid in AM - and you'll see it reflected in Xero.
If you'd rather create your invoices in Xero that's no problem. You can send them over to AccountancyManager just as easily.
Same goes for client details. When your clients make changes to their personal or business details in Xero, the sync will update AccountancyManager.
Build invoices as you work and track client profitability
Using the time tracking feature in AccountancyManager, allows you to track the time you spend on any chargeable tasks for each client. So as you work, AM builds WIP in the background - ready to invoice at a moment's notice. Whether you create invoices in AM or in Xero, so long as you track your time you will be able to see how profitable each client is and where there might be untapped opportunities across your business.
Take 'Chase unpaid invoices' off your to-do list - forever
AccountancyManager excels at getting you what you need from your client in good time - be it accounts, signatures, details - or a paid invoice. Until you get what you need, AM will continue to send gentle, occasional nudges. (Or not-so-gentle, rather insistent requests - the content and frequency is entirely up to you.)

Sending your invoices from AM means they'll be added to your clients' timelines, along with every (deep breath): email, text and phone call between you and your client, documents sent and received and all tasks you complete for that client. Gather client info with custom forms, plus the feature update making onboarding faster
Over the next few weeks, we''re shining a spotlight on the useful AM features
that make remote working work for your business.
Custom forms:
Get the right info from clients - fast
As if you didn't have enough to deal with!
Today marks the deadline for submitting self assessment tax returns - for anyone claiming a coronavirus Self-employment Income Support Scheme grant. HMRC will use data on 2018-19 tax returns submitted by 23 April 2020 to identify those eligible.
Use custom forms to get info - fast
Instead of sending your clients a list of questions, a spreadsheet - or building forms from scratch in Word, AccountancyManager lets you build your own online forms. It's quick and easy to do and you can create different forms depending on your clients' circumstances.
This is useful when preparing self assessment tax returns. In fact, we've created a default self assessment checklist form to get you started, but you can customise it.
You get exactly the information you need, in a digital format, so no dodgy handwriting to decipher. And life is easier for your clients - which always makes you look good! Filling out the forms is like completing an online survey, much easier and quicker than having to edit a document with restrictive formatting or needing to print something out and scan it back in again.
Clients fill in their forms in their portal
AccountancyManager comes with a built-in document portal for each client, where you and your clients can securely share forms and other documents. Instead of emailing forms over - and risk them getting buried in a busy inbox - simply publish them to the portal.
Chase clients for late or incomplete forms
You'll get a notification in AccountancyManager when your client has filled in a form - or partly completed one. Then you can move on to your next task in preparing the submission. Until your clients complete their form, AM will continue to chase them with automated emails and/or texts.
Although these emails and texts are sent automatically, you have complete control over what they say and how often they go out. You set that all up first - just once - and AccountancyManager will do the rest.
Create and preview forms
To build, edit, view or delete custom forms, go to:Tools > CustomForms. Here you''ll find a default Self Assessment form which you can customise.
Once you''ve asked your client to complete a form you can set up automated reminders that give them a friendly nudge if there''s any missing information. Simply navigate to Settings > Automation Settings > Uncompleted CustomForms to set this up.

Feature update:
Onboard new clients even faster
Now, when you add a prospect to AM, you''ll get the option to kick-off a new onboarding workflow that automatically sets up a new task for you. This will ensure the AM task list is your one-stop-shop to do list, so you never miss a beat.
What do I need to do?
Simply create a task breakdown template called "client onboarding", and it''ll be automatically applied to your new onboarding task. To create the template, navigate to Settings > Templates > New Template > Task Breakdown Template.

A streamlined experience for you and your clients
Not being able to meet clients in person or get documentation and signatures from them is a challenge at the moment. That''s where the client portal comes in. Share documents and forms online - your client simply logs in through your website to read, e-sign, upload or download. It''s GDPR-compliant, can be branded with your company colours and logo, and also saves your clients from trawling through emails to find paperwork. Great for them, great for you.
Keep all documents in one place
All of your clients'' documents are stored and organised in one place to refer to and download.
Exchange and sign documents If your client uploads something or signs a document, you''ll be sent an automatic notification to keep the ball rolling.
Update details anytime Clients can update their details in the portal, and you''ll be notified, so everyone is kept in the loop.
Fill in forms online Clients can enter all their info online, so no more printed checklists or temperamental Word docs.
Deadlines

What do I need to do??
To turn on client profitability, navigate to Settings > Account Settings > Hide Unrequired Features and untick Hide Profitability Section. It will then be visible under Tools - but only by staff members with full permissions. You''ll be able to see an overview of your profitability for the business and also per client, with the option to filter by manager and time period.

Organise your practice and save time
with automated record requests and reminders.
New feature:
Remind clients to pay their VAT
As well as reminding your clients to pay their Self Assessment and Corporation Tax, AccountancyManager can now remind your clients to pay their VAT too.
(Just one of eight new features released in the last two months.)
All of our automated reminders at a glance
Automatic record requests
AM will automatically request clients'' records. You can set AM to request the records on repeat, based on x number of days after the period end. Once you select ''Records Received'' on the task - the requests will stop.
Remind clients to pay tax
Imagine how popular you'll be with clients if they never miss another payment deadline. AM can automatically remind them to pay their tax, actioned in the same way you set up your record reminders.
Use Latest Actions to
nudge clients
If you've only received part of the records you need, sent them queries required to finalise the accounts or you''re awaiting approvals to file, AM can remind them of this too.
Uncompleted Custom Forms
Build your own online forms within AM and automatically remind clients to complete them. It''s particularly useful when you're preparing self assessment tax returns.
Unsigned documents
Set up automatic reminders for your clients to sign their documents. They can provide court-submissible e-signatures through their portal and you'll get a notification when they do.
Agent authorisation codes
Things can get tricky if you don't have HMRC Agent Authorisation - especially if it's time-sensitive. Send your client polite nudges until they get those codes over to you.
Weekly reminders for missing details
If you're missing important details on a client's file, such as UTR numbers or Companies House authorisation codes - AM will keep reminding your client to provide them.

Record every interaction, change, document shared - and time spent
The Client Timeline tracks and records your interactions with every client over time. You can use search and filter functions to find what you need, and if the tax man ever comes knocking, you''re covered.
Client emails, texts and calls
Keeping everyone
in the loop
The Timeline records every email and text sent to your clients, whether your email''s been opened, and any replies. You can also add a summary of impromptu meeting/call items.
Changes to client details
Up to date and in sync
Updates to client details are tracked, as well as who/what made the change - you, your team member, or an integration. Clients can also change their details in the portal.
Documents and signatures
GDPR-compliant for
peace of mind
An automatic entry will be created when you or your client uploads documents to their portal and when your client e-signs. Click on the entry to see or download the document.
Updates to tasks and logged time
Easily justify client costs
Whenever a member of your team works on a client-related task and logs their time, this will be listed on the Client Timeline. Useful if you ever need to justify costs to your client.
Additional notes
Add what you like
You can log any additional notes against your client, either for other staff to see or to keep more comprehensive records. Again these will be listed and time-stamped.

As part of the accreditation process, an ICB member must evaluate the software and create a report. Putting AM through its paces was Sarah Douglas C.FICB at HouseTree Business Ltd - an accountancy and bookkeeping practice in Glasgow. You can find a few of the best bits from Sarah''s report below.
Anti-money laundering and risk
AM will check that the ID, Passport/Driving License numbers are real numbers. AM will also check the address against the electoral roll. AM will also do a PEPs and Sanctions check. Within AM there is a risk section in each client file. This is for you to ask questions about the company as to whether it is more or less likely to be used to launder money.
